Business Phone Call Recording

Record calls with searchable AI transcripts, role-based playback and retention you control. Per-user, per-queue or per-number — not all-or-nothing.

Call recording captures business phone conversations as audio files tied to the call record, so they can be reviewed for quality, used in training, or retained as evidence of what was agreed. On a cloud phone system it is a configuration rather than hardware.

Is it legal to record business calls?

It depends on where the parties are, and getting this wrong carries real liability. Many US states follow a one-party consent rule, where your own employee's consent is sufficient. But a significant group — including California, Florida, Illinois, Maryland, Massachusetts, Montana, Nevada, New Hampshire, Pennsylvania and Washington — require all parties to consent.

Calls crossing state lines are generally treated under the stricter rule, which means a national sales team should usually assume all-party consent applies. In the EU and UK, recording personal data needs a lawful basis under GDPR plus clear notice.

We provide the controls — announcements, per-queue configuration, retention windows, audit logs. The legal determination is yours. Anyone selling you call recording without raising consent is not doing you a favour.

How do you notify callers?

An automated announcement at the start of the call is the standard approach and the easiest to evidence if challenged. Salamtalk plays a configurable notice per queue or per number, so a recorded support line and an unrecorded internal line can coexist.

For outbound calls, verbal notice from the agent at the start is normal practice. Whatever you choose, apply it consistently — an inconsistent policy is harder to defend than no recording at all.

What do teams use recordings for?

Use caseWhat it delivers
Quality assurance Review how calls are actually handled rather than how they are described in a report. Most teams find the gap between the two is the point of the exercise.
Training Real calls teach faster than role-play. A library of strong and weak calls shortens new-agent ramp time more than any script.
Dispute resolution A recording settles what was actually agreed. This is the use case most often cited in regulated sales and the one that justifies retention.
Compliance evidence Financial services, healthcare and insurance frequently require recordings for a defined period. The requirement is sector-specific — confirm yours rather than assuming.

Taking payments on a recorded line

If agents handle card details, a continuous recording captures them — which is a PCI DSS problem, not merely an untidy one. The standard remedy is pause and resume: the agent suspends recording for the payment step and resumes afterwards.

Salamtalk supports agent-controlled pause. Configure it before taking card payments on a recorded queue rather than discovering the gap during an audit.

Access, retention and encryption

Playback is role-based and logged — you decide which roles can listen, download or delete, and the audit trail records who accessed what. Restricting playback to supervisors is the common configuration.

Recordings are encrypted in transit and at rest, on SOC 2 Type II audited infrastructure aligned with HIPAA and GDPR. Retention is configurable, and it deserves a deliberate decision: indefinite retention creates discovery exposure and cost, while too short a window can breach sector rules.

Searchable transcripts

Recordings are only useful if you can find the right one. AI transcription makes calls searchable by what was said, so a supervisor can locate every call mentioning a competitor or a specific objection without listening to hours of audio.

Frequently asked questions

Is it legal to record business phone calls?

It depends on where the parties are. Many US states require only one party to consent, which can be your own employee, but a significant number require all parties to consent — California, Florida, Illinois, Maryland, Massachusetts, Montana, Nevada, New Hampshire, Pennsylvania and Washington among them. Calls crossing state lines are usually treated under the stricter rule. In the EU and UK, recording personal data requires a lawful basis under GDPR and notice to the caller. This is a legal determination for your organisation, not a platform setting.

How do I notify callers that a call is recorded?

An automated announcement at the start of the call is the standard approach and the easiest to evidence later. Salamtalk can play a configurable notice per queue or per number, so a sales line and a support line can differ. For outbound calls, verbal notice from the agent at the start is normal practice.

Who can access call recordings?

Access is role-based and every playback is logged. You designate which roles can listen, download or delete, and the audit trail records who accessed what. Restricting playback to supervisors rather than all agents is the common configuration.

How long are recordings kept?

Retention is configurable to match your obligations. This deserves an explicit decision: indefinite retention creates discovery exposure and storage cost, while an aggressively short window can breach regulatory requirements in financial services or healthcare. Set the period deliberately rather than accepting a default.

Are call recordings encrypted?

Yes, in transit and at rest, on infrastructure that is SOC 2 Type II audited and aligned with HIPAA and GDPR. Signalling runs over TLS 1.3 and media over SRTP.

Can I record only some calls?

Yes. Recording can be enabled per user, per queue or per number rather than globally, and agents can be given the ability to pause recording during payment capture so card details never enter the recording. Pause-and-resume is the standard approach to PCI DSS in a contact centre.

Does call recording cost extra?

Recording is included from the $15 per user per month plan, with 100GB of cloud storage included from the $25 plan. There is no separate recording licence.
